Packing List

Packing List Template

A packing list has to let a customs officer and a warehouse team check the same shipment without opening it: every line states the description, the quantity, the net and gross weight, the dimensions and the shipping marks, and the totals have to agree with the commercial invoice.

Standard packing list layout for export shipments.

What belongs in the header?

  • Exporter name and address, and consignee name and address
  • Invoice number and date that the packing list refers to
  • Vessel or flight, and the port or airport of loading and discharge
  • Shipping marks, so cartons can be matched to the list on arrival

What belongs in each line?

  • Item description and the HS code used on the invoice
  • Quantity of pieces, and the unit of measure
  • Net weight and gross weight per line, in kilograms
  • Dimensions per carton in centimetres, and the total volume in CBM

What must agree with the commercial invoice?

  • Item descriptions and HS codes, line by line
  • The number of pieces and the total gross weight
  • The total volume, because the freight is billed on it
  • Any declaration the destination requires, such as a certificate of origin reference

How do I use this?

Fill it in before you ask for a price rather than after: the details here are what a freight quotation and a customs declaration are built from, and a missing one is what turns into a delay or a re-quote later.
